Organizing Committee Meeting, March 2, 2008

The Organizing Committee (OC) meets once a week to manage the operation of The HIVE, review space reservation requests, and handle any business that arises during the operation of the space. All decisions are made by consensus. The OC is open to anyone who wants to come and get involved.

Events (Linsey)

  • FLOC dinner as part of Peace Pilgrimage, Tues, 3/18, 5:30-9:00, Point person: Eric
  • Peace and Justice Expo on Wed, 3/19, 10-2:30
  • Addressing Conflict in Collective Living, panel and discussion, Helena Saunders, Sun, 4/27, 2:00-5:00; Point person: Jonathan
  • Dinner and discussion re: homeless day center, Sat, 3/22, 6:00-8:00, Point person: Liz
  • MobookMobikeMobile, Fri, 3/7, 3:00-6:00, Scott Trent w/ BikeMe
  • Reminder: Grove St. Revitalization Committee of the Glenwood Neighborhood Assoc., first Monday of every month, 7:00-9:00
  • Grove St. Revitalization Comm. is sponsoring a multi-cultural fair on Grove St., Sat, 5/31. We’ll want to plan something for the fair.

Partners (Jonathan for Ricky)

  • Partners meeting will be held end of March – Ricky scheduling this
  • Cleaning schedule discussion

      The OC will clean after its Sun. meetings until Partners Meeting

    • At the Partners Meeting the idea will be presented for a weekly cleaning task sign-up sheet which will be posted outside the HIVE office door. Folks from the HIVE OC and partner organizations will take initiative to do the tasks and sign and date clean-up sheet when tasks are done. This informal system will be assessed a couple months in and revised as needed.
    • The long-term goal is to have a check list that includes cleaning tasks that open hours volunteers will check and sign off on, thus relieving both OC and partners of these tasks.
    • Susan will draft a weekly cleaning tasks sheet and a check list for clean-up/close-up for orgs using the meeting space for next weeks OC meeting.

Following up with people (Jonathan)

  • A plug from Jon. to follow up when someone expresses interest in being involved with the HIVE. Which led to discussion of…
    An Interest Gathering

    • Sat, 4/12, 6-8, dinner (am I right??) and discussion for those interested in getting involved with the HIVE. OC will need to generate a list of how volunteers can plug in, what folks can do to help out.
    • Can we find/recruit a VOLUNTEER COORDINATOR by this meeting?? If not, perhaps someone(s) at the meeting will step up. But it would be great to have someone ready to take this task on before the meeting.

Brochures

  • Jonathan and Ricky will follow through on getting more brochures printed up this week.

Kitchen (Fred)

  • Fred has drawn up an acquisitions wish list for the kitchen (not to mention his totally cool kitchen plans). Flooring is on the top of the list due to the sequence in which to do things.
  • Liz will serve as donations solicitor and use this as an outreach opportunity as well. Know of potential donations? Contact Liz.
  • Jonathan will contact David Bowers to set up a meeting with Jon., Fred and David re: kitchen plans
  • Fred will draw up a “letter of understanding” (in lieu of a lease) to also have ready for the meeting with David with an 18-month rent agreement included. We’d like to have this because of investment in the kitchen and security for the partners.

Organizing Committee Meeting, February 24, 2008

Reports/Areas

Bike Me! Collective Update (Kyla)

  • The shed was built this weekend; will have to be moved due to plumbing needs for kitchen on the exterior wall it’s next to; those present at meeting selected a site at back of parking lot.
  • Kyla will consult with Bike Me! about this site as well as touch base with other building tenants about it.
  • Still need to paint shed and figure out a foundation.
  • Outside electrical outlet will be needed and can be incorporated into kitchen work.

Partners (Ricky)

  • Ricky has emailed all partners and is narrowing down date for a training meeting end of March that will cover procedural stuff (clean up, lock up, role of point person, etc.) for partners as well as other groups using space; wants help with what to include in training.
  • Them 5 will try to get to OC meetings when possible.
  • The American Friends Service Committee, Greensboro office, is moving in.
  • North Carolina Occupational Safety and Health (NCOSH) is moving closer to sharing the Word & World office; they will be filling out an application soon. Plan is to split the rent with W&W.
  • Ricky suggests that at next week’s meeting we work together on system for cleaning, putting things back, etc.

Maintenance (Dave)

  • Fred has shelves that will be good for kitchen and storage area.
  • Dave will be working at HIVE on Wednesday organizing storage area, brainstorming on storage system, etc. Anyone who wants can join him around noon to help out.
  • T.R. still has one thermostat to switch out. Dave will call him tomorrow.
  • Tim H. has rolling platform available to help with ceiling tile replacement (safer than ladder).
  • W&W’s office needs to be prioritized for ceiling tiles.
  • Dave will call Duke Energy about the exterior light not turning off in the day time.
  • On Sunday before the Really Free Market, Liz and others will be going through stuff in the kitchen to cull things out that haven’t been spoken for and can go in market.
  • The HIVE is accidentally using other tenants’ trash cans – we need to figure this out and label ours.

Finance (Susan)

  • Susan landed an accountant through an acquaintance who will be doing our tax returns. In preparation for tax info, she has caught up The HIVE’s books for Oct. – Jan. When the accountant is done with these, the books will be in The HIVE office for anyone to peruse. Susan will add each month’s financial info to the office notebook.
  • She has sent David B. a copy of the bill for the tiles for reimbursement. When the reimbursement comes through we’ll be heading into March with a $90 balance.

AK Press Book Order (Jonathan)

  • We made $60 on this first order.
  • Decision made that the AK Press bookkeeping will be done separately by Jonathan and not folded into the HIVE books, except for this first transaction.
  • Re: library, Eric and Dave have disassembled the old couch frame and will use wood for bookshelves.

Outreach/PR

  • Sue E. has written a cover article on The HIVE for Go Triad to come out sometime in March.
  • Jonathan and Ricky will make needed changes to brochure and get a copy to Liz in time to have available at the Really Free Market this Sunday.
  • Jona will do a Partner’s blurb insert for brochure.

Events (Dave for Linsey)

  • We forgot to do this discussion first when we’re not so tired as discussed last week.
  • Javier Garcia with Faith Action. Peace and Justice Expo at the HIVE for the Holy Week Pilgrimmage on Wed., 3/12, 10-2:30. Liz co-coordinator and point person.
  • Bible Study, Wed. nights. Not approved at this time. Not enough info, organizer has few connections with the broader community presently, concern over weekly use. Dave will email them with other suggested locations.
  • Equality Coalition of NC for 5/1, 7:00, Nat’l Holocaust Remembrance Day, movie showing. We need more info about group and their plans. Dave will email.

Computers

  • Liz reported that we need to touch base with Brenda on this; Jonathan will call Brenda and see if she can meet Wednesday. He’ll also try and introduce Brenda and Sharp at the Reclaiming Democracy class Monday night as Sharp also volunteered to help with computers.
  • Ricky tried to call Derek about The HIVE computer he has as it would be great to get it back before Wed. (Monday update: Derek was sick and then out of town. Will have the computer back soon. – Dave)

Fire Inspection

  • Dave reported that our areas fire inspector wants to schedule a follow-up inspection. We have all the items necessary, we just need to hang fire extinguishers, install outlet covers, and reattach outlet under table next to the front door. Fred has agreed to help out on these on Wednesday.
